SAMS is the simple electronic diary system that enables staff and students to manage their meetings during term time. If you need to arrange a meeting with academic staff, lecturers on your modules or tutors responsible for your course, then this system is designed to help you. All lecturing staff and support staff in the Faculty of Science and Engineering, the faculty which operates your course, will make themselves available for meetings with students for a minimum of three hours a week. In order to see an academic member of staff during these office hours, you will need to use SAMS to book your appointment. You will be able to book the appointment well in advance and be certain of the time of the meeting and also give the lecturer an idea of what you would like to discuss. This system means you do not have to find the lecturer when he or she are frequently not in their office but busy teaching, conducting research or studying elsewhere. It also means that lecturers can plan their work without having to deal with large numbers of enquiries throughout the working day.
From now on we would ask that all students make an appointment using the system in order to see a lecturer. Of course you can still ask your questions in or immediately after a lecture or workshop and in the event of a serious personal crisis approach the member of staff directly.
How does it work?
- Browse to the SAMS system at http://sams.wlv.ac.uk.
- Log into your SAMS account using your University student number and password. Please note the new version of SAMS does not use your date of birth as the password date of birth.
- You find your lecturer from a drop down menu listing every member of staff in the faculty.
- You examine their diary for a free appointment slot you can attend.
- You double click on that slot
- Check, the appointment details. If a room number isn't listed the meeting location will be confirmed via email.
- Enter a reason for the appointment i.e. what is it you wish to discuss.
- Click on the Book appointment button.
- Continue to make further appointments or log out.
That’s it! The system will send both you and the lecturer an e-mail confirming the appointment, including location details. If you ever need to check when you have an appointment just log into the system and it will show you a list of all of your future appointments.
Detailed instructions on how to use the system are given below:
Browse to the SAMS system at http://sams.wlv.ac.uk
Enter your user details. In the Username text box enter your student number and your University password you use for email, WOLF, etc. Please note the new version of SAMS no longer uses your date of birth as the password.
You will then see your SAMS Home page now called the Student Dashboard. On the left you will see any upcoming appointments you have along with any latest news. On the right you will find information on your past bookings, where you can add feedback and comments on your meeting and the useful information section including the contact details and hours for the Student Support Office as shown on the next page:
In the ‘Upcoming Bookings’ portlet of the home page all future appointments are listed. This includes the ‘Type’ of appointment – single person image for one to one appointments and an image of two people for group appointments.
The list is now paginated and also contains the rooming details and a button to the left giving access to the full appointment details.
In the ‘Past Bookings’ portlet all of your past bookings are listed and you can record the outcome of the appointment along with comments by clicking on the Action button next to each listed appointment. The outcome will be seen by the staff member and replied to where necessary.
To make an appointment click on calendar link which is located at the top of the page in the navigation bar. Your will then see your calendar as shown bellow:
The calendar lists all of your appointments. Your 1 to 1 appointments are listed in light blue and your group appointments in orange.
Next select the member of staff with whom you wish to make an appointment with by clicking on the drop down menu on the left of the page as shown below or by typing in the member of staffs’ name.
Once you have selected a member of staff their calendar will appear. Vacant appointments are shown as green slots, appointments you have already made are shown in light blue, group appointments are shown in orange, booked (unavailable) appointments are shown in dark blue and elapsed appointments in grey.
To select a different date use the calendar tools located at the top of the page – click on the left and right facing arrows (< & >) buttons to move from one page to another and the month, week and day buttons to change the page layout.
To make an appointment click on one of the green slots or orange slots.
In the following booking screen you will see the date and time of the appointment, who the appointment slot is available to e.g. project students, Personal Tutee, etc. and the room number for the appointment if specified by the academic. If a room is not listed SAMS will allocate a meeting room as soon as you book the appointment and the details will be supplied in a confirmation email. Please do not book appointment slots intended for other students as the appointment will not be honoured. To complete the form you will need to enter a reason for the appointment, this should be a detailed as possible and then confirm the ppointment by clicking on the Book button.
Your appointment will now appear on the list of future bookings and you will also receive an e-mail to confirm the appointment along with the person you have booked the appointment with a location details.
To add feedback, comments or ask a further question regarding your meeting from the Home page click on the arrow button next to one of your past appointments. You will then be taken to the appointment details page where you can add a meeting outcome from the drop down menu and add any comments you wish. The member of staff will then have the opportunity to respond to your feedback.
To update your profile select the Profile button in the navigation window. You can then update your email address. Remember to click on the Save button.
